Most of the copier billing questions we get at Copier Dynamics aren’t about the price per page. They’re about the number the bill was built on: the meter reading. If that number is wrong, late, or estimated, everything downstream is off. The good news is that checking it yourself takes about thirty seconds.
What the meter actually counts
Every copier and multifunction printer keeps a running total of the pages it has produced, the same way a car keeps an odometer. Most machines track black-and-white and color separately, and many break it down further into copies, prints, and sometimes large-format pages. That breakdown matters because black and color pages are almost always billed at different rates.
Most of our service agreements are a yearly base fee, billed quarterly against the meter. So once a quarter, the total on your machine is compared to the last reading, and the difference is what you are billed for above your base. A flat rate exists for some customers, but it is the minority. For everyone else, the meter is the bill.
Where to find it on a Toshiba or a Canon
We sell and service Toshiba and Canon equipment, so those are the two we get asked about most.
- Toshiba e-STUDIO: on most current models, tap Counter on the home screen of the control panel. It shows total black and color counts. If you have the machine’s IP address, the same numbers are on the Counter tab in TopAccess, Toshiba’s built-in web page, which is handy if the copier is in a back room.
- Canon imageRUNNER ADVANCE: press the Counter/Device Information button (older units label it Counter Check). You’ll see a list of numbered counters. The totals for black and color are the ones that matter for billing.
Take a phone photo of that screen. A photo with a date on it settles more billing questions than anything else we know.
Where meter disputes come from
In our experience, almost every disagreement over a copier bill traces back to one of three things:
- A missed reading. Someone was supposed to call or email the numbers in, it didn’t happen, and the quarter was estimated. Estimates get corrected on the next read, which can make that next bill look unusually large.
- The wrong number. A Canon screen can show a dozen counters. Reporting the copy-only counter instead of the total, or swapping black and color, throws the bill off right away.
- A reading from the wrong machine. Offices with two or three similar units sometimes send in the right numbers for the wrong copier.
How to keep it clean
Pick one person to own the meter read. Put a reminder on their calendar a few days before each quarter ends. Photograph the counter screen instead of retyping numbers, and label which machine it came from. If your copier is networked, ask us about having it report the reading automatically so nobody has to remember at all.
If a bill ever looks off, call before you pay it. We’re a family-owned shop in Markham, and we would rather pull up the readings together than have you guess.
